These Terms of Service ("Terms") govern your access to and use of Recruiter in the Loop ("RITL"), a product of Kada Recruiting LLC ("Kada," "we," "us," or "our"), available at recruiterintheloop.ai and related subdomains (collectively, the "Service").
By creating an account, accessing, or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service. If you are accepting these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity.

Recruiter in the Loop (RITL) is an AI-powered recruiting intelligence platform developed by Kada Recruiting LLC and designed for boutique recruiting firms and independent recruiters. The Service includes candidate intelligence, job intake analysis, sourcing tools, CRM integration features, and related functionality as made available from time to time.
RITL is currently an internal product of Kada Recruiting LLC and is in an early-access phase. Access is limited to authorized users within Kada and invited design partners. Features, functionality, and pricing are subject to change as the platform evolves toward broader availability.

To access the Service, you must create an account with a valid email address and a password meeting our minimum security requirements (at least 8 characters, including letters, numbers, and special characters). You are responsible for maintaining the confidentiality of your credentials and for all activity under your account.
Access is currently limited to internal Kada Recruiting team members and explicitly invited design partners. Account credentials may not be shared. Each seat is intended for a single, named individual. Kada reserves the right to grant or revoke access at its sole discretion during this phase.
We reserve the right to suspend or terminate accounts that violate these Terms, engage in abusive activity, or where required by law. You may close your account at any time by contacting us.

You agree to use the Service only for lawful recruiting and talent acquisition purposes. You agree not to:

You retain ownership of candidate data, job information, and other content you upload or create within the Service ("Your Data"). By submitting Your Data to the Service, you grant Kada a limited, non-exclusive license to process that data solely to provide and improve the Service for you.
You represent and warrant that you have obtained all necessary consents and authorizations to submit candidate personal data to the Service, and that doing so complies with applicable employment and data protection laws.
We do not sell Your Data to third parties. Aggregated, de-identified insights derived from platform usage may be used to improve the Service and train future models, provided no individual is identifiable.

The Service uses large language models and AI to generate candidate analyses, job summaries, sourcing strategies, and other outputs ("AI Outputs"). AI Outputs are provided for informational and assistive purposes only. You are responsible for reviewing AI Outputs before relying on them for hiring decisions.
AI Outputs do not constitute legal, HR compliance, or professional advice. Kada makes no representations that AI Outputs are complete, accurate, or free of bias. Human review of all material decisions is required.

The RITL platform, including its design, software, prompts, models, and methodology, is proprietary to Kada Recruiting LLC. Nothing in these Terms transfers ownership of our intellectual property to you.
Feedback, feature suggestions, or ideas you share with us may be used by Kada to improve the Service without obligation or compensation to you.

The Service may integrate with third-party tools including applicant tracking systems, data enrichment providers, and AI infrastructure providers. Your use of those integrations is subject to the third party's own terms. Kada is not responsible for the availability, accuracy, or practices of third-party services.

The Service is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant uninterrupted availability, error-free operation, or fitness for a particular purpose.
To the maximum extent permitted by applicable law, Kada's total liability to you for any claim arising out of or relating to the Service shall not exceed the fees paid by you in the three (3) months preceding the claim. In no event shall Kada be liable for indirect, incidental, special, or consequential damages.

We may update these Terms from time to time. Material changes will be communicated by email or in-app notification at least 14 days before taking effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.

These Terms are governed by and construed in accordance with the laws of the State of Ohio, without regard to its conflict-of-law provisions. Any disputes shall be resolved in the courts of Ohio, and you consent to personal jurisdiction there.

Kada Recruiting LLC ("Kada," "we," "us") operates Recruiter in the Loop (RITL) at recruiterintheloop.ai. This Privacy Policy describes how we collect, use, store, and share information when you use the Service. We are committed to handling data with care and transparency.
This Policy applies to recruiter and firm-user accounts. If you are a job candidate whose information has been entered into the platform by a recruiting firm using RITL, your data is processed on behalf of that firm (the data controller). Please contact the firm directly for questions about your personal data.

When you register, we collect your name, email address, and firm name. We store a hashed version of your password — we never store passwords in plain text.
This includes candidate profiles, resumes, job descriptions, intake notes, screening call transcripts, and any other data you upload or create within the Service.
When you initiate profile enrichment, we pass candidate identifiers (such as LinkedIn URLs or email addresses) to third-party enrichment providers to retrieve professional information. We cache enriched data to minimize repeat lookups.
We automatically collect log data including IP addresses, browser type, pages visited, features used, and timestamps. This is used for security, debugging, and product improvement.
If you contact us by email or in-app, we retain those communications to respond to you and improve support.

We do not sell your personal data. We share information only in the following circumstances:
We work with third-party vendors to operate the Service, including cloud infrastructure (Supabase, Vercel), AI model providers (Anthropic, OpenRouter), and data enrichment services. These vendors process data only as directed by us and are bound by confidentiality obligations.
If you connect RITL to a third-party ATS or CRM (such as Zoho Recruit), data you choose to sync is transmitted to that service under your direction and that service's terms.
We may disclose information if required by law, court order, or governmental authority, or to protect the rights, safety, or property of Kada or others.
In the event of a merger, acquisition, or sale of assets, user data may transfer to the successor entity. We will provide notice before your data is transferred to a different privacy policy.

We retain your account data for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymize your data within 90 days, except where retention is required by law or legitimate business purposes (such as billing records).
Candidate data entered by your firm is retained as long as your firm account is active. You may request deletion of specific records at any time.

We implement industry-standard security measures including encrypted connections (TLS), hashed credentials, row-level database security, and access controls. No method of transmission or storage is 100% secure. In the event of a data breach affecting your personal information, we will notify you as required by applicable law.

Recruiting firms using RITL are responsible for ensuring they have appropriate legal bases for processing candidate personal data, including any required consent, and for complying with applicable employment and data protection laws (including, where applicable, GDPR, CCPA, and EEO requirements).
RITL's AI processing is designed to assist human decision-making, not replace it. Hiring decisions remain with human recruiters and hiring managers. Firms should ensure their use of AI-assisted tools complies with local regulations regarding automated employment decisions.

We use essential cookies required for authentication and session management. We may use analytics tools to understand aggregate usage patterns. We do not use advertising or cross-site tracking cookies. You can control cookies through your browser settings, though disabling essential cookies may affect Service functionality.

The Service is intended for professional business use only. We do not knowingly collect personal information from individuals under 18. If we become aware that a minor has provided personal information, we will delete it promptly.

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use of the Service after changes take effect constitutes your acceptance of the updated Policy.
